Role Overview
We are looking for an organised and proactive Waste Administrator to support the day-to-day administration of our waste management operations.
The role will involve processing waste documentation, maintaining accurate records, supporting operational teams and ensuring that all required paperwork is completed correctly and in line with company procedures and environmental legislation.
The successful candidate will work closely with customers, drivers, site teams, weighbridge operators and management to ensure waste movements are accurately recorded and the department operates efficiently.
Key Responsibilities
- Process and maintain waste transfer notes and other waste documentation.
- Ensure waste records are accurate, complete and stored correctly.
- Check waste classifications, descriptions, EWC codes and supporting documentation.
- Assist with maintaining records relating to waste movements into and out of company sites.
- Enter waste, customer and job information accurately onto company systems.
- Process weighbridge tickets, delivery notes and associated paperwork where required.
- Liaise with customers regarding waste bookings, documentation and general enquiries.
- Support the operational team with the coordination of waste collections and deliveries.
- Communicate with drivers, transport teams, weighbridge staff and site personnel.
- Ensure relevant paperwork is available before waste is accepted or moved.
- Assist with Duty of Care documentation and environmental compliance records.
- Maintain customer, supplier and subcontractor information.
- Assist with producing reports on waste volumes, movements and recycling performance.
- Support the preparation of information required for audits and environmental inspections.
- Identify missing or incorrect documentation and resolve queries promptly.
- Assist with invoicing information by ensuring tickets, weights and job details are correctly recorded.
- Maintain organised electronic and physical filing systems.
- Respond professionally to telephone and email enquiries.
- Work closely with other departments including Transport, Accounts, Sales and Operations.
- Carry out general administrative duties required to support the Waste Management department.
- Ensure all activities are undertaken in accordance with company Health & Safety, environmental and quality procedures.
Skills and Experience
The successful candidate should have:
- Previous experience within an administrative role.
- Strong organisational skills with excellent attention to detail.
- Good written and verbal communication skills.
- Confidence communicating with customers, drivers and operational teams.
- Good IT skills, including Microsoft Office, Outlook and Excel.
- The ability to accurately input and manage large volumes of information.
- The ability to prioritise workload and work effectively in a busy environment.
- A proactive approach to resolving queries and correcting documentation.
- The ability to work independently and as part of a wider team.
Previous experience within waste management, recycling, aggregates, construction, transport or a weighbridge environment would be advantageous but is not essential.
